Retail florists can use EveryStem software to track their weekly sales. Click here for a PDF you can print! OR follow along here.
Here’s one effective way you can use EveryStem to track and improve weekly retail sales.
1. Create a new event. Name it “Weekly Sales Template” or something similar. You can enter a date or leave the date field blank.
2. Set the markups in your event to your retail markups using the Event Details button. Note: to learn more about setting markups watch this video.
3. Set and turn on your Labor Fee if you charge an additional fee on top of your markup for labor. Note: the Labor Fee is added to the retail price after your markup. Here’s a video with more info.
4. You’ll only need one page in this event, so remove the pages of the event you don’t need, keeping only one page. Note: to remove a page select the page, click the Edit Page button, then click the Remove button, then click Confirm. To see this in action watch this video.
5. Rename the remaining page “Weekly Sales” or something similar. Click the Edit Page button, type in the page name, then click Submit.
6. Rename the first column on the page “Weekly Sales” or something similar and remove all other columns on the page. Note: to remove a column, click on the column header and click the Remove button, then click Confirm.
7. Add all of the flowers from your standing weekly flower orders into the event by using the Add Item button. Check the wholesale prices and item information. Then adjust if you need to by editing the flower or item. Note: to learn how you can easily add items watch this video. Note: If you have not created these items in your account yet, you’ll need to create your new items use the Create Item feature. Watch this video to learn how. Note: If you need to edit a flower or item’s information watch this video.
8. Enter the quantity of each item you buy in your standing weekly order into the corresponding boxes into the single column on the page.
9. Save your template by clicking the Save button at the top left corner of the screen.
10.Click on the Dashboard navigation link at the top of the screen, locate your template on the Dashboard (use the search box in the top left corner to find it quickly) and click on the copy icon on the right hand side to create a copy of your template. Enter a new name for your first weekly sales event in EveryStem. Use “Month, Week, Year” for example “August, Week 1, 2023” or something similar so you can easily search for each week in the future.
11. Open the newly created event (“August, Week 1, 2023” in the example above) and use the Add Item button to add any flowers or hard-goods you used for this particular week in your retail designs in addition to your standing order that is already copied over from your template. Also, adjust the quantities of any items on your standing order for this particular week and update the prices based on your wholesaler invoices. Note: to edit the information on your items you can use the Edit Item modal,.
12. Add in an amount for your Supplies at Retail Value if you have any hard goods or mechanics you’d like to account for which are not included in the event items. Note: Here’s a video about adding Supplies at Retail Value.
13. Finally, enter your total sales amount before delivery charges, fees, and taxes into the Quoted Price box.
14. Click on the Summary page tab and scroll to the bottom to see your weekly summary including your profit margin for the entire week. Note: Understanding the numbers on the Summary Page will help you to improve your profit margin each week. Here’s a video with more info.
15. Then each week, you can make a copy of your template or the previous week’s event using the copy feature on the Dashboard. Update the new week’s event by repeating steps 11-14. This way you’ll have a record of your total sales and all the flowers you ordered to make the designs that were sold that week.
Note: You can also include notes and link images to each weekly event using the Notes feature to help you remember details from each week and aid you in making smart decisions on future orders. Here’s a video with more info. You can use these weekly events in your EveryStem account to analyze year-over-year to improve your ordering accuracy and keep track of your sales history. You can also use these as guidelines for holidays and events that repeat on a regular basis.
